Maintenance Closeout Proof Checklist

Use this checklist to verify that a maintenance workflow has a clear source record, starting state, completion condition, human checkpoints, redaction, and terminal proof before the work is treated as closed.

Required Evidence

• Workflow start state: trigger, intake source, and initial record state.
• Workflow end state: completion condition and terminal proof.
• Source IDs: approved source identifiers where allowed.
• Human checkpoints: approval, review, and exception points.
• Blocked actions: human-only decisions excluded from automation.
• Terminal proof: evidence that the loop truly closed.
• Redaction: private data removed from any shareable packet.

Human-Only Exclusions

This checklist does not approve owner commitments, vendor commitments, spend, legal conclusions, payments, trust-accounting entries, or public claims.

Review Questions

1. Is the source-of-truth record identified?
2. Is the starting state clear?
3. Is the ending state clear?
4. Are human-review checkpoints explicit?
5. Is terminal proof defined?
6. Are private fields excluded or redacted?
7. Are public claims still blocked until approval?
